Scheduling Application

The goal was to improve the tools and process we use to schedule interactions between clients and advisors. Increasing productivity, making it faster and easier to use.

My responsibilities: user research, user flows, wireframes, prototypes, UI design, visual design

Challenges

  • Reduce the time spent by associates on scheduling activities.
  • Increase the number of structured availability provided by advisor and clients.
  • Increase the number of advisors published to clients with availability at the beginning of projects.

Learnings

  • Current tools are not tailored to get structured availability.
  • Big stress and mental load dealing with availabilities.
  • Hard to keep it up to date after initial outreach.
  • Lack of information visibility.

Solution

  • Build a calendar UI for clients and advisors to input their free times.
  • The output of the calendar information should be easily selectable timeslots.
  • When there is a match on time, it should feel very fast and efficient, sending calendar invites for both parts.

Results

End to end platform to capture and store structured availabilities allowing clients and advisors to schedule interactions with minimal interference from the company internal employees.

  • An increase of 30% of advisor profiles published with initial availability on the scheduling panel.
  • Associates are spending less than half an hour per day on scheduling activities.
  • Client satisfaction based on usage of the scheduling tools has been improved considerably after release.
